Sustainability Reporting Software: A Buyer's Guide

Sustainability reporting has crossed a threshold. For most medium and large organisations, it's no longer a voluntary exercise or a document produced by a sustainability coordinator or small communications team. Modern sustainability reports are data-intensive, multi-stakeholder, more frequent, and often multi-framework obligations. As a result, manual and spreadsheet-based processes that worked five years ago are breaking under the weight of it.

Sustainability reporting software exists to organise, automate, and improve data collection and disclosure work: moving it out of spreadsheets and disorganized documents, and into a system with structure, efficiency, validation, version control, and the types of audit trails third-party assurance requires. But the market for sustainability reporting tools is fragmented, category terminology can be inconsistent, and the gap between what platforms promise and what they actually deliver — particularly at the data collection and quality layer — is wide. We've made a best effort to provide an honest, unbiased guide to evaluating sustainability reporting software platforms and tools, to help guide your organisation toward making the right decision.

What modern sustainability reporting software needs to do

Sustainability reporting spans a broader set of topics than pure financial ESG disclosure. A platform that works for a listed company's CSRD obligations may be inadequate for supply chain decarbonisation, tracking waste, circularity, or pollution, or organising product-level lifecycle emissions alongside workforce safety metrics. Before evaluating tools, map your full, ideal reporting scope.

At minimum, a sustainability reporting platform should be able to:

  • Enable efficient data collection across environmental (emissions, energy, water, waste, biodiversity), social (workforce, health and safety, supply chain labour practices, community impact), and governance dimensions
  • Support multiple reporting frameworks simultaneously — organisations increasingly face overlapping obligations (CSRD + ISSB + CDP, for example), and re-entering the same data for each framework is waste of time, costs, and resources
  • Map data inputs to specific disclosure requirements automatically — which GRI indicator, California emissions disclosure, or ESRS data point does each data field satisfy?
  • Maintain a complete audit trail with source documentation, calculation methodology, and change history for each data point
  • Generate disclosure-ready outputs: PDF reports, XBRL-tagged data for digital filing (required under CSRD), and data exports for internal analysis or investor questionnaires
  • Provide business intelligence and performance improvement insights — Sustainability is increasingly an operating discipline. Proactive, high-performing companies are implementing emissions reduction improvements, energy efficiency measures, circularity initiatives, and aligning sustainability with commercial objectives. Your sustainability platform should support sound internal decision-making and performance monitoring, not just external reporting

Key frameworks sustainability software should support

While your specific needs may vary based on your organisation's size, location(s), profile, and sector, it's beneficial to identify a sustainability software partner with broad, flexible, and adaptive reporting capabilities — in order to meet you where you are now and support you long-term as regulations and your business evolves. The sustainability reporting framework landscape has largely stabilised around a core set of standards, though new regulations continue to add and revise requirements. Generally though, organisations will be well-supported when their system convers:

GHG Protocol Corporate Standard

Carbon and greenhouse gas emissions (GHGs) are categorized into three scopes by Greenhouse Gas Protocol, the international standard for carbon accounting. In most parts of the world, when a company needs to report its carbon footprint to regulators, ESG investors, or standards organizations, it reports its inventory across Scope 1, 2, and 3 GHG emissions, the established framework for carbon reporting. Virtually every modern, climate-aligned sustainability reporting standard requires emissions disclosure, making carbon accounting data a cornerstone KPI for most sustainability teams.

GRI (Global Reporting Initiative)

GRI remains one of the most widely used voluntary sustainability reporting framework globally, with over 10,000 organisations producing GRI-referenced reports annually. GRI 2021 Universal Standards established a mandatory minimum disclosure set; topic-specific standards (GRI 300-series for environment, 400-series for social) cover material issues. GRI is also the methodological basis for several ESRS standards under CSRD. That said, in recent years, as more organisations begin reporting under CSRD (or ESRS VSME), and within ISSB-aligned jurisdictions, GRI's general relevance has declined some outside of countries where it's a requirement (like the UAE for listed companies)

CSRD / ESRS

The EU Corporate Sustainability Reporting Directive mandates disclosure for large EU-based companies from FY2024 (phased rollout through FY2028 for smaller entities and non-EU companies with significant EU operations). ESRS comprises 12 topical standards across environment, social, and governance — each with specific quantitative and qualitative data-point requirements. Software must support double materiality assessment workflow, ESRS-aligned data collection, and XBRL digital tagging.

ISSB S1 / S2

The International Sustainability Standards Board (ISSB)'s IFRS S1 (general sustainability disclosures) and S2 (climate) are rapidly becoming the baseline for listed company reporting globally. S2 effectively supersedes TCFD. The UK, Australia, Canada, Singapore, and Japan have all announced mandatory adoption pathways. Software that only supports TCFD will leave gaps as ISSB S2 becomes the actual filing requirement.

CDP

The CDP questionnaire is used by over 23,000 companies to disclose climate, water, and forest data to investors and customers. CDP scores feed into MSCI ESG ratings, Sustainalytics, and supply chain due diligence assessments. CDP's Climate questionnaire aligns closely with TCFD/ISSB S2, but has its own scoring methodology and data structure. Preparing a CDP response requires specific data fields that not all sustainability platforms collect natively. Similar to GRI however, as more organisations complete CSRD and ISSB-aligned reports, scored reporting interest in CDP may decline due to its high level of disclosure complexity.

Where sustainability reporting software often falls short

The most common failure point isn't the reporting output — it's data collection, quality, and accuracy. Most platforms make it easy to generate a formatted report once your data's in the system. The hard part is getting accurate, auditable data into the system in the first place.

Watch for these gaps when evaluating:

  • Data collection — If you have a physical supply chain, Scope 3 Category 1 (purchased goods and services) and Category 11 (use of sold products) may require data from hundreds or thousands of suppliers. Platforms that rely only on email-based questionnaires or manual uploads create a data quality problem at scale. Look for automation-friendly tools with AI and big data capabilities, response tracking, and data validation. Sustainability reporting teams often encounter similar challenges working across scattered documents and spreadsheets. Look for a system that provides helpful, powerful, and easy-to-use data and document import capabilities.
  • Multi-entity consolidation and segmentation — organisations with subsidiaries, joint ventures, or franchise structures need a platform that handles organisational boundary-setting (operational control, equity share, financial control approaches) and consolidates data across entities with different reporting periods, as well as enterprise grade roles, permissions, and related workflows
  • Data quality and transparency — it's important to be able to trace a data point or calculation back to its primary source (i.e., invoice, methodology, emissions factor, etc.). Similarly, when working with data at large scale, it can be highly tedious and time-consuming to check for errors manually. Look for systems that support automated scanning, error detection, and also provide clear traceability between reporting input and output

Sustainability reporting software for different organisation types

Large enterprises with mandatory CSRD or ISSB-aligned obligations

Priority criteria: Double materiality, ESRS and/or ISSB native data mapping, XBRL tagging output, integration with ERP systems, multi-entity consolidation, and assurance-ready audit trails. Implementation timeline is typically 3–6 months for initial setup (although can go faster for sophisticated reporting organisations who already have high sustainability data and process maturity)

Mid-market companies building voluntary sustainability programs

Priority criteria: ease of setup without IT resource, flexibility across frameworks (ESRS VSME, GRI, CDP, etc.), supplier survey tools for Scope 3 data collection, and a reporting output that works for both board reporting and public sustainability reports. Many mid-market companies over-invest in enterprise platforms before they have the data maturity to use them — start with a platform that matches your current reporting scope and can scale

Startups, B Corps, and impact-driven organisations

Priority criteria: social impact measurement alongside environmental data, flexible KPI frameworks (B Impact Assessment, UN SDG alignment, ESRS VSME), and reporting outputs designed for funders, customers, and community stakeholders rather than financial investors. This segment is typically underserved by the enterprise ESG platforms — look for tools built specifically for B Corp reporting or platforms that explicitly support sustainability, carbon, and social impact measurement all in one.

A checklist before you evaluate or shortlist platforms

  • Confirm your mandatory reporting obligations and deadlines — CSRD applicability, California climate disclosure, national or local mandates
  • List the frameworks you currently report against and those you expect to add in the next 2-3 years
  • What are your overarching sustainability reporting goals? Compliance? Performance measurement? Satisfying customer and commercial data demands? Investor reporting? All of the above?
  • Identify your primary data collection bottlenecks — where is manual effort concentrated today? What is your overall level of data maturity as it relates to sustainability and ESG?
  • Consider your business model, organisational footprint, and value chain and make sure your tool is flexible enough or purpose-built for your sector. How complex is your organisation? How "startup-friendly" or "enterprise" does your ESG platform partner need to be?
  • Assess how many entities, facilities, departments, team members, and suppliers need to contribute data
  • What budget and resources do you have available. Do you need support from IT, procurement, EHS, ERM/Risk, HR, or other departments?
  • Ask vendors specifically about assurance references — has the platform been used in a successful limited or reasonable assurance engagement?
  • Evaluate the platform's Scope 3 data collection workflows — it's highly likely that your organisation will need to report its full Scope 1, 2 & 3 GHG emissions, if not now than in the coming years. Scope 3 capabilities aren't just a matter of calculation methodology, but how the platform handles Scope 3 data workflows at scale
  • What type of sustainability reporting technology partner are you looking to work with (and fits the profile of your organisation)? Do you want a smaller partner who's potentially more agile, innovative, and hands on? do you want a "safer" large company who might not provide you the same level of personalized and responsive service? what is the platforms commercial proposition, advantages, and risks? These are all important to consider as well

The most important investment in sustainability reporting isn't the platform — it's the data infrastructure and partnership model behind it. The right sustainability software makes that infrastructure easier to build and maintain. The wrong software creates a new set of workarounds, inefficiencies, and gaps on top of the old ones.
